How StaxQ works, how your data is protected, and how to import holdings with confidence.
Privacy & Security
How your holdings are protected
StaxQ is built so you stay in control of your ledger. We use a zero-knowledge encrypted vault — your holdings are encrypted on your device before anything is uploaded. Full legal text: Privacy Policy and Terms & Conditions.
How encryption works
- Your password is stretched with PBKDF2 to derive keys that never leave your session.
- A random AES-256-GCM vault key encrypts every holding client-side.
- Only ciphertext and IVs are stored in Supabase — never plaintext holdings.
- Your vault key lives in memory only; refresh or sign-out requires unlock again.
Recovery Key — save it at signup
At signup you receive a Recovery Key. It wraps your vault key separately from your password. If you reset your password via email, you must enter this key to decrypt your ledger again.
StaxQ cannot read your holdings without your password and Recovery Key. If you lose both, your encrypted data cannot be recovered — by design.
Who can access your data?
- Supabase Row Level Security (RLS) ensures each user can only read and write their own rows.
- We never store plaintext holdings, vault keys, or Recovery Keys on the server.
- Email auth is handled by Supabase — they store account credentials; StaxQ stores encrypted blobs only.
AI Vault Analyst (Pro) — zero-knowledge chat
Pro subscribers can ask natural-language questions about their stack — biggest gain or loss, total weight, stack value, sales profit, ledger filters, price alerts, and more. The assistant is optional: turn it off in Menu → Pro & trading → AI Vault Analyst. When off, the chat button disappears and nothing is parsed or sent.
Zero-knowledge in plain English: StaxQ cannot read your decrypted holdings on our servers. Your ledger is encrypted in your browser before upload. The Vault Analyst works the same way as Net Worth and the ledger — answers are calculated locally from holdings already unlocked in memory on your device.
- Intent parsing runs on your device — keyword rules first, then a small on-device model in a Web Worker. No OpenAI or other third-party AI.
- Your chat messages are not sent to StaxQ by default — only optional opt-in when you share a phrase the parser missed.
- Decrypted holdings never leave your device — same model as the ledger and Net Worth cards.
- All numbers in replies are calculated in your browser from your unlocked vault.
- Short follow-ups like "what about gold?" refine your last question locally — never vault rows.
- If you name a specific coin in your message, that text stays on your device because you typed it. Avoid naming items if you prefer.
Zero trust: you do not have to trust us with plaintext stack data — we are architecturally unable to see it. For the Vault Analyst, you also control whether the feature runs at all. Disable it if you prefer a ledger with no AI chat surface.
Example questions: how much did silver spot go down today; how much has my stack gained this week; sales profit or proceeds for a date range; cost per oz (average, highest, or lowest); how many of a product you hold (counts coin quantities); stack value or weight with metal/category filters; historical spot on a date; find holdings by name (opens your ledger with that filter); storage or purchase-source filters. If the assistant does not understand, you can optionally share the typed question with StaxQ to help improve parsing — never your vault data. When we add it to training or review it, you'll get an in-app notification (bell icon) so you can try asking again.
Infrastructure you can trust
StaxQ runs on Supabase for database and authentication. Supabase maintains industry certifications including SOC 2 Type II and ISO 27001, with encryption at rest and GDPR-ready hosting practices.

- Sign-out clears the vault key from memory immediately.
- Display currency and country settings never overwrite purchase currencies on holdings.
- AI Vault Analyst (Pro) — enable or disable in Menu → Pro & trading. Off = hidden assistant, nothing parsed.
Delete Account & All Data
Permanent and irreversible
Menu → Delete account & all data permanently removes your StaxQ presence. There is no undo, no recovery period, and no way for StaxQ support to restore your ledger afterward.
What is deleted
- Every encrypted holding and ledger entry in your vault.
- Your profile, vault key wraps, Recovery Key wraps, and encryption salts on our servers.
- GSR ratio alerts and any account-linked settings.
- Your Supabase auth account (email login) — you cannot sign in again with the same credentials unless you create a brand-new account.
- Cached preferences on this device (country, currency, theme, dashboard layout).
What is NOT kept
Because StaxQ uses zero-knowledge encryption, we never hold plaintext copies of your holdings. Once deleted, no copy exists anywhere in StaxQ — not on our servers, not in backups you can request, and not recoverable with your Recovery Key after the account is gone.
How to delete
- Open Menu from the dashboard pill bar.
- Scroll to Danger Zone → Delete account & all data.
- Type DELETE MY STAXQ exactly and enter your current password on the same screen.
- Select Delete forever — you are signed out immediately.
Before you delete
Export any records you need before deletion. CSV export on StaxQ Pro (beta) is the way to keep a copy — after deletion, nothing remains to export.
If you only want to sign out temporarily, use Sign Out instead. That clears your vault key from memory but keeps your encrypted data and account intact.
Recording Sales & Disposals
Free — feeds Pro sales & disposal reports
When you sell bullion or numismatic items, record the disposal in your ledger so purchase history and proceeds stay together for your records — and for StaxQ Pro sales & disposal workbooks for your tax agent.
How to record a sale
- In the Bullion or Numismatic ledger, find the item and click the receipt icon (Record sale).
- Enter the sale date, quantity sold (partial sales supported), total proceeds, and currency.
- Use Edit on any sale in the holding modal or Sales dashboard to fix dates, amounts, or notes.
- The item stays in Active view until fully sold; then it moves to the Sold filter.
- Realised gain/loss shown in the app is an estimate only — see Tax Disclaimer below.
Editing or removing a sale
Open the holding (ledger edit icon) and click Edit on a sale in the history list — or use Edit on the Sales dashboard table. You can change date, quantity, proceeds, currency, and notes. Remove sale deletes the disposal and returns units to your active stack.
Partial sales
If you sell part of a lot (e.g. 2 of 5 coins), enter the quantity sold. Remaining units stay in your active stack with updated quantity. Each sale is stored as a separate disposal event on that holding.
Sold filter
Use the Active / Sold / All toggle on each ledger to review items still held versus fully disposed. Sold items show total realised gain/loss and the last sale date.
Sales & Disposal Reports (Pro)
Sales & Reports pill · AU / US / NZ FY or custom · draft workbook
Organises sale dates, proceeds, and purchase cost base by Australian, US, or New Zealand tax-year boundaries — or any custom date range — so you can export a CSV or PDF for your tax agent. StaxQ does not calculate tax payable and is not lodgement software.
Pro users export from the Sales & Reports dashboard pill — by Australian, US, or New Zealand tax-year preset, or any custom date range, from sales recorded in the ledger. Hand the CSV or PDF to your tax agent.
What the report includes
- Each disposal in the selected date range — cost base and proceeds converted to AUD.
- Gross capital gain or loss per sale (organisational summary only).
- Optional legacy AU discount estimate when held at least 12 months — Australia FY preset only, pre-1 July 2027 rules.
- Range totals including net capital gain — this is not tax payable and not lodgement software.
Date range presets
- Australia FY — 1 July to 30 June.
- US Tax Year — 1 January to 31 December.
- New Zealand FY — 1 April to 31 March.
- Custom Range — pick any start and end date.
- Presets are shortcuts only — StaxQ does not determine your tax residency or which regime applies.
Australian tax rules change 1 July 2027
Australian tax rules change from 1 July 2027 — the legacy 50% discount is replaced by CPI indexation and a 30% minimum tax on gains accruing after that date, with transition rules for assets held across the change. StaxQ applies simplified pre-2027 maths only. Your tax agent must apply the new law for disposals on or after 1 July 2027.
Pro exports organise your sale history for your tax agent — StaxQ does not lodge with any revenue authority or calculate tax payable. Local tax rules vary by country; verify with a qualified adviser.
ATO reform overview →What it does not do
- Based entirely on purchase and sale data you entered — typos and omissions flow through to this report.
- Cost base uses purchase price × quantity sold only — brokerage, shipping, storage, and other adjustments are not added unless you included them in purchase price.
- Proceeds use the total sale amount you recorded — fees and GST are not deducted unless you entered net proceeds.
- FX conversion uses historical rates where available; otherwise latest or static fallback rates (flagged per disposal).
- Does not classify items under local tax rules (e.g. trading stock, personal use assets, or collectables).
- Does not apply country-specific exemptions (e.g. collectables thresholds).
- Optional legacy discount estimate uses simplified pre-1 July 2027 rules only — not indexation, apportionment, or 30% minimum tax under the 2027 reform.
- Discount eligibility is estimated from dates only — your tax agent must confirm treatment for bullion vs numismatics.
- Capital losses are not automatically carried forward or offset against other years.
- Does not model deemed 30 June 2027 valuations or split pre/post-reform gains on long-held assets.
Important
Net capital gain figures are not tax payable. Your actual liability depends on your tax rate, other income, carried losses, and local rules that StaxQ does not model.
Tax & Sales Report Disclaimer

StaxQ helps you organise purchase and sale records. Calculations, summaries, and reports are provided for convenience only, may contain errors, and are not tax or legal advice. Always cross-check figures and provide them to a qualified tax agent or accountant before lodging with your revenue authority or making financial decisions.
Pro exports organise your sale history for your tax agent — StaxQ does not lodge with any revenue authority or calculate tax payable. Local tax rules vary by country; verify with a qualified adviser.
What StaxQ is not
- StaxQ is not a registered tax agent, accountant, or financial adviser.
- StaxQ does not lodge returns with the ATO, IRS, IRD, or any other revenue authority.
- Figures in the app — including realised gain/loss previews and Pro sales & disposal reports — may be wrong due to data entry errors, FX rounding, missing fees, or rules StaxQ does not model.
What you should do
- Keep your own receipts, invoices, and bank records.
- Cross-check every summary before making tax or financial decisions.
- Provide StaxQ exports to a qualified tax agent or accountant for verification before lodging.
- Bullion vs collectibles tax treatment can be complex — professional advice is strongly recommended.
Getting Started
Views, holdings & your first steps
Dashboard views
Use the pill bar to turn sections on or off: Net Worth, Reporting, Sales & Reports, Bullion Ledger, and Numismatic Ledger. Your layout is remembered between sessions. Sections with data auto-enable on first visit.
Collapsible bullion & numismatic ledgers
Each ledger section has a chevron next to its title — tap to collapse the table and filters while keeping manual entry and bulk import visible above. Your expanded or collapsed state is saved on this device and restored when you return to the dashboard.
Bullion and numismatic zones use distinct colour bands so you can see where one ledger ends and the other begins, even when both are collapsed.
Legacy bulk lots (Pro)
For junk silver, inherited coins, or long-accumulated stacks when you don't know purchase dates or prices, use Bulk / legacy lot on bullion add/edit (Pro). One row covers the whole lot — quantity, weight, and purity — with live spot and melt on Net Worth and the ledger.
- Paid and gain % show — on the ledger; cost basis is not tracked.
- Portfolio Over Time includes the lot from your optional in-stack-since date.
- Sales exports show proceeds; cost base is blank with a warning for your tax agent.
- Not available via CSV import — manual entry only.
Ledger filtered totals (Core)
A Totals bar below each ledger table sums the rows you currently see — after search, metal, Active/Sold/All, or location filters. It shows quantity, fine weight (bullion), paid, market/realizable, and melt. When filters narrow the list, the label switches to Filtered totals and includes % of stack for the active location filter.
Storage locations (Core)
- Add or edit a holding — use the Storage Location combobox (saved labels, vault locations, or type to add new).
- Menu → Organisation — maintain a saved list (Home Safe, bank box, etc.) for quick picks.
- Ledger location chips — filter by where items are stored; empty locations show as Unassigned.
- Reporting storage allocation chart groups by the same location labels.
- CSV import/export — storage_location column; values are normalised on import (trimmed, collapsed spaces).
Adding holdings
- Bullion Ledger — bars, coins, and rounds valued at live spot × trade weight. Add Holding opens a bullion-only form.
- Numismatic Ledger — proofs, slabs, and collectibles with optional collector value overrides. Add Holding opens a numismatic-only form with catalog assist.
- Use Add Holding on any ledger, manual entry panels above each ledger, or bulk-import via CSV — StaxQ templates or mapped dealer exports (see Bulk CSV Import below).
After sign-in
Unlock your vault with your password. If you signed up recently, locate your Recovery Key before resetting your password — you will need it to restore access to encrypted holdings.
Features Explained
Valuation, spot prices & reporting
Ledger row icons
- Proof / special strike — mirror-finish coins struck with polished dies (often lower-mintage collectibles, not standard bullion). Tick this when editing a numismatic item.
- Original mint box & COA included.
- Units already sold — use Record sale in Actions to log another disposal.
Hover any icon in the ledger for a short explanation.
Coin purity & melt value
Circulating and pre-decimal coins are often alloyed — the same denomination can have different fineness by era or mint. Pick the purity preset (or enter a custom %) that matches the coin you hold; melt value uses that fineness × trade weight × live spot. Spot value still uses gross trade weight only (ticker math).
Examples (not exhaustive):
- Australia — 92.5% sterling silver pre-1946; 50% silver florins/shillings/sixpences 1946–1966; 91.67% crown gold sovereigns.
- United States — 90% silver pre-1965 dimes/quarters/halves; 40% silver 1965–1970 half dollars; 22k gold eagles and pre-1933 coins vary by issue.
- New Zealand — pre-1947 silver often 50%; decimal silver varies by year — check the issue before selecting a preset.
- Bullion bars and rounds — usually .999 or .9999; use catalog presets or custom purity for unusual alloys (e.g. goldbacks).
When in doubt, verify the alloy with a reference catalog or dealer before relying on melt value for decisions.
Dual valuation: spot value vs melt value
StaxQ tracks two live, read-only valuations side by side. Neither is editable — both update automatically from weight, purity, quantity, and the live spot ticker.
- Spot Value — trade weight × quantity × live spot (stacker ticker math; purity does not reduce this).
- Melt Value — weight × purity × quantity × live spot (fine-metal melt floor).
- Numismatic items: you enter collector market value manually on Pro (`user_estimated_value`); spot and melt stay calculated. Optional eBay lookup (beta) is a research shortcut only — never required.
Example: 10 × 1 oz silver at 0.999 purity and $91.93 spot → about $919.30 spot value (10 × $91.93) and about $918.38 melt value (9.99 fine ozt × $91.93).
Ledger columns: weight, purchase price, spot & melt
- Weight (ozt) — trade weight per item in troy ounces (converted from grams/kg when entered that way). Original unit shown in smaller text when not ozt. Quantity is shown separately.
- Purchase Price — what you paid per item, in the currency you entered.
- Spot Value — remaining units × trade weight × live spot (read-only).
- Melt Value — remaining units × weight × purity × live spot (read-only).
Live spot ticker & display currency
Spot prices refresh from live market data. The ticker and dashboard convert to your display currency (Menu → Country & Display Currency). Purchase currencies on individual holdings are stored as entered and never overwritten.
Gold–Silver Ratio (GSR)
The ticker shows the live gold-to-silver ratio — a quick reference for stackers comparing relative metal pricing.
Portfolio reporting
Turn on the Reporting pill to see metal allocation, bullion vs numismatic split, purchase price vs spot value vs melt value vs market value, and storage distribution — all with percentage breakdowns. On the ledgers, use location filter chips and the footer Totals bar (Core) to subtotal what you are viewing. Pro users also get Portfolio Over Time (with optional per-metal filter) and a macro spot history chart at the top of Reporting — toggle Portfolio | Spot (see sections below).
Import preview & undo
CSV and Excel uploads open a column mapper when headers don't match our template, then a preview modal before anything is saved. Good rows import even if a few rows are skipped — the preview lists what failed. Duplicates already in your ledger are skipped by default. After a successful import you can undo the last batch from the bulk upload panel.
Photos & receipts (Pro)

What Pro includes per holding
StaxQ Pro: 1 item photo & 1 invoice/receipt per holding — not multiple galleries. Stored in your encrypted vault — not on Core.
Item photo
- Edit any holding → Pro attachments → Add photo or Change photo.
- JPG or PNG · compressed (~640px) · encrypted vault · one per holding. Tap the thumbnail to preview.
- Download from the holding edit screen or photo lightbox.
- Core users see metal/category icons only; existing photos on downgrade stay view-only until removed on Pro.
Full vault backup (.zip) (Pro)
- Settings → Pro & trading → Download full vault backup (.zip).
- Includes bullion and numismatic CSV exports (with has_photo flags), README, manifest, and your uploaded photos only — never stock metal icons.
- Optionally bundles the Professional Asset Defense Report PDF (name and address used only for that download).
- Includes uploaded purchase receipts in attachments/receipts/ when present.
- Generated locally in your browser; StaxQ does not receive a copy.
Receipt / invoice
- Edit a holding → Pro attachments → Attach receipt.
- PDF or scanned JPG/PNG/WebP · compressed for print clarity · encrypted vault · one per holding. Export Word docs as PDF first.
- View, download, or remove from the holding edit screen. Included in full vault backup (.zip).
- Sales & Disposal and Asset Defense reports show “Receipt on file” when attached — not the binary.
Pro attachment grace & removal
- When Pro ends, your ledger holdings, sales, and notes stay — only photos and receipts are affected.
- 14-day grace: view and download attachments; no new uploads. Use Menu → Download full vault backup (.zip).
- Missed grace: first vault unlock starts a 3-day catch-up export window (banner in app).
- After catch-up or ~3 months from when Pro ended, attachments are removed from your encrypted vault on next unlock.
- Re-subscribing to Pro does not restore deleted attachments — export before removal if you need records.
Catalog assist (Pro)
StaxQ presets + Numista search on numismatic add
Where to find it
- Manual Numismatic Entry panel — search bar above the form on the Numismatic Ledger view.
- Add Holding on the numismatic ledger — same catalog assist panel at the top of the modal.
- Edit Holding — catalog assist is not shown; edit the fields directly.
How it works
- Type at least two characters — StaxQ searches local AU presets first (no API key required).
- Pro users can tap Search Numista for broader coin metadata; results are cached on the server after the first lookup.
- Pick a preset or Numista hit to fill title, series, metal, form, weight, purity, and year — always confirm weight and purity before saving.
Numista API note
Live Numista search requires a server API key. Until that is configured, local StaxQ presets still work. Numista metadata is reference only — StaxQ does not guarantee accuracy for mintage, purity, or weight.
Optional eBay lookup (Pro beta)
In-app research shortcut · not a headline feature
Important — not a valuation
eBay market reference shows active asking prices from third-party eBay listings only — not sold history, not an appraisal, and not a guarantee of what you could buy or sell for. Results may be incomplete, outdated, mismatched to your exact item, or skewed by overseas listings, toys, and unrelated products. StaxQ does not provide financial, investment, or valuation advice. You must review every listing yourself before using any figure in your collector estimate. StaxQ is not liable for errors or losses arising from reliance on this feature.
What it is
An optional Pro beta shortcut buried in the numismatic collector estimate field — not a core StaxQ feature or launch promise. It searches eBay for active listing asking prices (via eBay's Browse API). Power users may copy a reviewed median into their collector estimate; StaxQ never sets your value automatically.
What it is not
- Not sold/completed auction history (eBay retired the old sold-comps API StaxQ originally planned for).
- Not a professional appraisal, insurance valuation, or tax figure.
- Not a guarantee that you can buy or sell at the median shown.
- Not financial, investment, or tax advice from StaxQ.
Why results can be wrong
- eBay titles vary wildly — toys, replicas, and unrelated merch can appear beside genuine coins or bars.
- Popular franchises (Wonka, Star Wars, etc.) attract many non-precious-metal listings.
- Overseas sellers, low serial premiums, and one-off asking prices can skew a median.
- StaxQ filters and ranks results heuristically — it cannot know every SKU or variant.
How to use it safely
- Compare each listing to your exact item (weight, metal, year, packaging, grade).
- Exclude listings that look like toys, wrong weight, or overseas outliers before applying.
- Cross-check against dealers, recent sales you trust, and your live melt floor in the form.
- If results look nonsense, ignore them — enter your collector estimate manually.

To the maximum extent permitted by law, StaxQ is not liable for any loss, incorrect estimate, or decision made using eBay market reference or any third-party listing data. See also Terms & Conditions (sections on third-party data and limitation of liability).
Portfolio Over Time (Pro)
Bullion spot history chart · beta
What is it?
Portfolio Over Time is a Pro line chart at the top of the Reporting tab. It plots your bullion portfolio value using cached daily gold, silver, and platinum spot closes — not numismatic collector estimates.
StaxQ Core still shows live per-metal gain/loss on the Net Worth bullion card; this chart is the historical view for Pro.
Time ranges & chart detail
- 1D (session) — change since the prior New York close (5 PM Eastern): prior close, hourly intraday bars from the COMEX session open (6 PM ET), and live Now when the market is open. Weekends show the last completed session.
- Last 7 days & Last month — one point per trading day.
- Last 6 months — weekly buckets (last close in each week).
- All time — daily points from your first bullion purchase through today.
- Custom (Pro) — pick any date range; daily detail for the window.
- Metal filter (Pro) — All (default), Gold, Silver, or Platinum. The line, headline gain/loss, and optional cost basis use only that metal. Numismatic items are always excluded.
The headline gain/loss matches the visible line: weekly/monthly charts compare the first and last points on the chart; daily tabs compare fixed calendar baselines (e.g. 7 or 30 days ago).
Purchases, sales & cost basis
- The line reflects your stack on each date — purchases add metal, sales remove it, using purchase dates and disposal records from your ledger.
- Optional Show cost basis overlays total amount invested (dashed line). On 1D, Close uses the prior NY session close; intraday and Now include bullion bought today — updates as soon as you save a holding.
- Only metals you actually hold affect the line. Spot history is fetched for gold, silver, and platinum; if you hold no platinum, platinum prices are ignored.
Data sources & accuracy
Historical values from cached daily closes. Feature in active development — figures may be incomplete or inaccurate. Not financial or tax advice; verify before decisions.
- Daily closes are cached from 1 January 2000 onward. Older years are filled in over time. Weekends and missing days use the nearest prior close.
- Holdings purchased before 2000 are included from 1 January 2000 — earlier chart history is not available.
- Days without a complete spot close for your active stack are omitted from the line (never shown as $0).
- Numismatic items never appear in this series — collector premiums stay on the numismatic ledger and Net Worth cards only.
Core vs Pro
Non-Pro users see a locked preview and can upgrade from the chart. Cached daily spot closes run from 1 January 2000 through today. Per-metal filters (Gold, Silver, Platinum) require Pro — Core preview stays on All metals.
Macro spot history (Pro)
Market metal prices · Reporting Portfolio | Spot toggle
What is it?
At the top of Reporting, use the toggle Portfolio | Spot. Portfolio shows Portfolio Over Time — your bullion stack valued with cached daily spot closes. Spot shows a macro chart of raw gold, silver, and platinum market prices — independent of your holdings mix.
Time ranges
- Core — Today, Last 7 days, Last month, Last 6 months.
- Pro — All time (daily closes from 2000 onward, same cached pipeline as Portfolio Over Time).
- Today uses intraday bars where available; longer ranges use cached daily closes.
How it differs from Portfolio Over Time
- Portfolio Over Time — your actual bullion holdings over time (purchases and sales affect the line).
- Macro spot history — market reference only; shows metal spot prices, not your portfolio value.
- Numismatic collector estimates never appear in either chart.

Bulk Import (CSV / Excel)
Templates, column mapping, Excel uploads, saved presets & rules
Which template do I use?
- Standard Bullion CSV — bars, coins, rounds, cast/minted bars.
- Numismatic CSV — proofs, slabs, collectibles with collector metadata.
- Never mix both categories in one file — choose the bulk upload panel on the matching ledger.
- StaxQ templates import in one step. Dealer or spreadsheet exports open a column mapper first.
- Use .csv or .xlsx — Excel reads the first worksheet only.
Can I import a dealer or spreadsheet export?
Yes. Upload any .csv or .xlsx file whose columns can be matched to StaxQ fields. If headers don't match our template exactly, a Map columns step opens with auto-guessed dropdowns — adjust anything wrong, then continue to the same preview modal as template imports.
Common matches include Qty → quantity, Fineness → purity, Product Description → title, and Net Weight → weight. Column order in your file does not matter.
Can I import Excel (.xlsx)?
Yes. Drag or browse an .xlsx file on the same bulk upload panel as CSV. StaxQ reads the first worksheet and treats the top row as column headers — then follows the same template, mapping, preview, and import flow as CSV.
Save your workbook as .xlsx (Excel 2007+). Legacy .xls is not supported — export to .xlsx or save as CSV instead.
Can I save a column mapping for next time?
Yes. In the column mapper, name your layout (e.g. "Perth Mint export") and click Save mapping. Presets are stored on this device only (localStorage) — separate lists for bullion and numismatic imports.
When you upload a file with the same column headers again, StaxQ offers a one-click Apply button for the matching saved mapping. You can still adjust dropdowns before continuing to preview.
Purchase price: per unit vs line total
StaxQ stores purchase price per unit and shows total paid as price × quantity in the ledger. On the official StaxQ template, purchase_price is always per unit.
When mapping dealer exports, check Purchase price is a line total if the column holds the full lot amount (e.g. 78 coins for $780). StaxQ divides by quantity before saving. Columns named like total_paid or amount_paid auto-check this; you can override the checkbox anytime. Non-numeric prices (e.g. text in the cell) skip that row.
How do I get the template?
In each ledger view, click Download Template on the bulk upload panel. Files also live at /templates/staxq-bullion-import-template.csv and /templates/staxq-numismatic-import-template.csv.
To try column mapping, use the sample dealer-style file at /templates/dealer-export-bullion-test.csv on the Bullion Ledger bulk upload panel.
Upload flow
- StaxQ template — keep headers exactly as downloaded; add rows below the samples.
- Other CSV or Excel — map your columns to StaxQ fields (auto-guess + dropdowns), then validate.
- Drag a .csv or .xlsx file onto the Bulk Upload panel or browse to select it.
- Review the preview modal, then confirm. Duplicates in your ledger are skipped by default.
- After a successful import you can undo the last batch from the bulk upload panel.
Required fields when mapping
Every imported row needs a mapped title, metal, weight amount, and purity / fineness. Optional fields (form, weight unit, quantity, price, currency, date, storage, notes, and numismatic extras) can be skipped if your export doesn't have them.
Purity accepts decimal fineness (e.g. 0.9999), percent (e.g. 99.99 or 50%), or common labels like 925, sterling, and coin silver.
Errors vs warnings
Skipped rows: rows that fail validation are skipped — valid rows still import. The preview lists skipped row numbers and reasons; fix those lines in your file and re-upload if needed.
Warnings (on successful imports only) — form typos or date auto-corrections. The row still imports; review holdings afterward.
Dates
All dates are stored as ISO YYYY-MM-DD. Parsing uses your Menu country setting — currently DD/MM/YYYY or YYYY-MM-DD. Unambiguous formats like YYYY-MM-DD always work. Invalid dates block that row.
